Social media content calendar template for client work

Most calendar templates are pretty grids with nothing in them. This one shows the columns that matter, a filled example week, and a free planner that builds a week for your client in one click.

The short answer

A good social media content calendar template has 9 columns: date, day, platform, content pillar, topic or hook, format, caption and call to action, status, and notes. Plan 30 days at a time, rotate 4 or 5 content pillars, put holidays and promos in first, include at least one Reel a week, and get the client to approve the month a week before it starts. Google Sheets is all you need.

How to plan a 30-day content calendar in 6 steps

1

Choose 4 or 5 content pillars

For most local businesses: behind the scenes, educate, proof (reviews, results), local or community, and offers. Give each a rough share of posts. Need ideas? See content ideas for small businesses.

2

Put fixed dates in first

Holidays that fit the business, promos, events, launches. Everything else fills around them.

3

Fill the rest by rotating pillars

No two posts from the same pillar back to back. Keep offers to about 1 in 5 posts so the feed doesn’t feel like an ad.

4

Mix formats

At least one Reel or short video a week, plus carousels for tips and photos for proof. Stories fill the gaps.

5

Write a hook for every row

Under 10 words. If you can’t write the hook, the idea isn’t ready yet.

6

Send it for approval, then batch

Client approves a week before the month. Then batch-create a week of posts in one sitting and schedule them.

Running content calendars for clients

  • One tab per client, same columns every time, so you never relearn a layout.
  • Approval by a set date. Write it into your contract: no approval by the deadline means you post the plan as written.
  • Collect the inputs up front. Offers, events and photos for the month, gathered with your onboarding questionnaire.
  • Close the loop. Use the month’s results in your monthly report to choose next month’s pillars.

Content calendar mistakes

  1. Planning one day at a time. You’ll run out of ideas by week two.
  2. Too many columns. If you don’t use it weekly, delete it.
  3. Only offers. Followers tune out a feed that’s all sales.
  4. No status column. You lose track of what’s approved and what’s live.
  5. Never reviewing results. The calendar should change based on what worked.

FAQ

What should a social media content calendar include?

Date, day, platform, content pillar, topic or hook, format, caption and call to action, status, and notes. Those 9 columns cover planning, approval and posting.

Is there a free social media content calendar template?

Yes. Use the free weekly builder on this page and paste the week into Google Sheets. For a full 30-day calendar with automatic dates and a pillar counter, the Client Getting System includes one in its Business Workbook.

How far ahead should I plan social media content?

Plan a month at a time and have the client approve it about a week before it starts. Leave a little room for timely posts.

How many posts per week should a small business post?

Three to five posts a week on one or two platforms is a realistic, consistent target for most small businesses, with at least one short video.

What is the best tool for a social media content calendar?

Google Sheets for planning and client approval, plus Meta Business Suite for free scheduling on Instagram and Facebook. Notion or a paid scheduler can come later.

How do I make a content calendar for a client?

Agree their goals and offers, choose 4 or 5 pillars, place fixed dates first, rotate pillars and formats across the month, write a hook for every post, then send it for approval before you batch-create.
